Role Overview

The Senior Clinical Operations Specialist will support clinical trials by assisting the Clinical Monitoring team with site management activities and ensuring compliance with protocol requirements and guidelines. You will handle project correspondence, maintain clinical project files, and manage logistics for site supplies. The role also involves coordinating meetings, tracking project progress, and resolving potential issues proactively.


Key Responsibilities

Clinical Operations Support

  • Site Management: Assist Clinical Monitoring staff by ensuring compliance with protocol requirements at clinical trial sites.
  • Project Documentation: Create, maintain, and update clinical project files, manuals, and reference tools.
  • Database Management: Input and maintain clinical tracking information and oversee the update of regulatory and clinical documents.
  • Logistics Coordination: Oversee the ordering, packaging, shipping, and tracking of site supplies and materials.

Communication & Reporting

  • Correspondence Management: Manage shared mailboxes and process site requests, routing correspondence appropriately.
  • Meeting Coordination: Organize and attend team meetings, prepare accurate meeting minutes, and track action items.
  • Issue Resolution: Anticipate, identify, and resolve issues, escalating more complex problems when necessary.

Training and Mentorship

  • Training Support: May provide training or mentorship to junior Clinical Operations Specialists (COS), helping to elevate the team’s capabilities.

Qualifications

Required Experience & Skills

  • Education: An Associate’s degree is preferred, or equivalent experience in clinical research, pharma, or biotech.
  • Industry Knowledge: Strong understanding of medical terminology, clinical data, and ICH/GCP guidelines is beneficial.
  • Organization Skills: Excellent organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously.
  • Communication Skills: Strong interpersonal and communication skills, both verbal and written, with the ability to interact effectively with site teams and internal stakeholders.
  • Technology: Comfort with new technologies and clinical systems.

Additional Requirements

  • Minimal Travel: Up to 10% travel may be required for site visits or meetings.
