Job Title: Senior Executive Assistant
Job Location: Washington, DC - Remote

Special Note: Role could be filled in a part-time capacity if needed.

Job Overview:
The Senior Executive Assistant plans, directs, and coordinates administrative support services for the Chief Executive Officer (CEO) and select other executive leaders. This role contributes to the long-term success of the business by organizing and preparing executive processes, drafting communications, developing scorecards, meeting summaries, and events, and providing high-level administrative support for the CEO while maintaining the highest level of confidentiality and professionalism. This position offers an excellent opportunity to understand the company’s strategy, engage with senior leaders, and gain insight into all key functions within the CRO industry.

Job Duties and Responsibilities:

  • Facilitate executive team meetings by compiling agendas, developing monitoring materials such as PowerPoint presentations, spreadsheets, and scorecards, organizing pre-meeting materials, and providing summaries of key points, decisions, and action items.
  • Manage the CEO’s calendar, arranging and scheduling meetings and teleconferences with internal and external attendees, including coordinating catering when necessary.
  • Coordinate schedules and itineraries for international and domestic travel.
  • Assist in preparing communications on behalf of the executive.
  • Prepare and process expenses for the CEO and approve expenses for members of the executive team as needed.
  • Track executive team goals and initiatives, establishing methods for data collection, reporting on progress, and identifying issues requiring the CEO’s attention.
  • Support board-level governance activities.
  • Follow up with the executive team regarding timesheet compliance.
  • Assist the CEO with the preparation of presentations and other correspondence.
  • Make domestic and international travel arrangements as required.
  • Interface globally with clients, management, and service providers.
  • Multitask and adapt quickly to changes in the work environment, making timely decisions.
  • Proactively collaborate with other administrative staff to enhance support functions for the company.
  • Attend meetings in the CEO’s absence, taking notes and reporting key details to the CEO afterward.
  • Ensure compliance of the executive team with corporate policies and procedures.
  • Perform other executive administrative support duties as assigned.

Job Requirements:

Education

  • Bachelor’s degree in Business Administration or a related field, or equivalent experience in office or business management; MBA preferred.

Experience

  • Minimum of 5 years’ experience supporting C-Level executives.
  • High proficiency in Microsoft Office applications (Outlook, PowerPoint, Word, Excel).
  • Experience in the CRO industry or other life sciences areas is a plus.

Capabilities

  • Advanced Microsoft Office skills, with the ability to quickly learn company-specific programs and software.
  • Proficient in software and internet applications, including Windows applications, Excel, PowerPoint, Word, Internet Explorer, and Outlook.
  • Local travel may be required up to 10% of the time.
