As a Payroll Specialist, you will play a crucial role in ensuring the accurate and timely processing of payroll for multiple international locations. Under the supervision of the Payroll Manager, you will manage payroll records, respond to employee inquiries, and ensure compliance with payroll-related regulations. Your responsibilities will include processing payroll for various countries, managing time sheets, and supporting HR and Finance teams in payroll-related matters.

πŸ”‘ Key Responsibilities

βœ” Payroll Processing

  • Process monthly international payrolls for Spain, Poland, Germany, and other countries, and bi-weekly payroll for Canada and the US
  • Set up new hires in the time tracking system and address any issues related to non-billable pay codes
  • Review and validate employee timesheets for completeness and accuracy
  • Verify sub-contractor status, rates, and prepare monthly reports for accounts payable

βœ” Reconciliation & Reporting

  • Reconcile vacation hours, group insurance invoices, and general ledgers related to payroll
  • Prepare payroll journal entries for accounting, including vacation accruals and other related expenses
  • Review PEO invoices, ensuring alignment with time sheets and rates
  • Communicate and partner with HR and Finance teams to address payroll matters

βœ” Customer Service & Compliance

  • Manage payroll inbox and provide exceptional customer service for payroll inquiries
  • Ensure compliance with company policies, local tax laws, and international payroll legislation
  • Maintain confidential payroll information and adhere to legal and ethical standards

πŸŽ“ Education:

  • Bachelor's degree in a relevant field

πŸ›  Experience:

  • Minimum 4 years of experience processing payroll across multiple countries
  • Strong organizational, communication, and attention-to-detail skills
  • Ability to manage confidential information with integrity
  • Fluent in English and Spanish (verbal and written)

  • In-depth knowledge of international employment tax laws and payroll regulations
