Mid-Level Associate Subcontract Administrator

Hourly Rate: $28 to $33

We are seeking a Mid-Level Associate Subcontract Administrator to manage one or more large subcontracts, ensuring compliance with company and project requirements. This position is primarily remote, but occasional in-office work may be required based on project demands. Willingness to travel to subcontractor facilities is necessary.

Responsibilities:

  • Oversee subcontract management from initiation through closeout.
  • Maintain organized files and manage tracking spreadsheets.
  • Respond to audit requests and ensure subcontractor compliance.
  • Review subcontractor proposals and procurement documentation.
  • Draft, negotiate, and manage task orders and purchase orders.
  • Oversee the approval process for subcontractor invoices.
  • Collaborate with subcontractors, project staff, and accounting departments.
  • Conduct contract-related research and manage the subcontract closeout process.

Qualifications:

  • Bachelor’s degree in Business Administration or a related field.
  • Typically 5+ years of experience in procurement, subcontracting, and administering federal contracts.
  • Broad knowledge of subcontracting activities in the engineering and construction industry.
  • Excellent written and oral communication skills.
  • Proficiency in Excel, Word, and Adobe.
  • Attention to detail and strong interpersonal skills.
  • Federal government contracting or finance experience is a plus, but not required.

Specific Responsibilities:

  • Prepare recommended source lists of qualified subcontractors based on past performance.
  • Coordinate with project management and client recommendations.
  • Verify accuracy and completeness of proposal packages.
  • Negotiate subcontract terms and conditions.
  • Prepare and issue subcontract documents and amendments, including flow-down requirements.
  • Maintain accurate tracking records and subcontractor files.
  • Perform subcontract closeout actions and ensure retention of reports and claims for seven years.
  • Provide technical guidance to lower-level Subcontract Administrators as needed.
  • Serve as a liaison between subcontractors and procurement personnel.

  • Supervision Received: Higher-level Subcontract Administrators, Procurement Manager.
  • Supervision Given: Lower-level Subcontract Administrators (technical guidance only).
  • Internal Contacts: All employees on project.
  • External Contacts: Clients, Suppliers.
