Job Title: In-Office Phlebotomy (IOP) Billing & Internal Communications Coordinator

Job Summary:

The IOP Billing & Internal Communications Coordinator plays a crucial role in our operations, primarily responsible for managing data entry into our EHR/PM software and facilitating communication between the Billing Department, customer service, patients, providers, and field services. This role supports office staff and ensures that all expectations outlined in the job description are met.

Key Responsibilities:

  • Serve as a point of contact for patients, addressing their inquiries or directing them to the appropriate department or individual.
  • Handle client inquiries by determining the purpose of the call, resolving issues, or referring to the relevant personnel.
  • Organize and manage patient documentation efficiently.
  • Enter patient demographics and other required information accurately into the practice management system.
  • Collect and input patient registration information into the computer system.
  • Assess patients' financial status regarding sliding fee scales, insurance, or discounts and refer to eligibility as needed.
  • Verify third-party payer coverage and billing details, including insurance information.
  • Assist in correcting billing information as required.
  • Prepare daily financial batches for processing.
  • Schedule patient appointments for medical providers using the computerized EPM system.
  • Scan or upload documents into electronic health records.
  • Participate in Unique Lab Services (UDS) measures, meaningful use metrics, and quality initiatives by assisting with audits and data collection.
  • Maintain appropriate levels of office supplies and medical forms at your workstation.
  • Resolve problems and errors effectively.
  • Demonstrate competence in multiple specialties and/or departments.
  • Uphold medical confidentiality in compliance with HIPAA policies and procedures.
  • Communicate promptly and professionally with patients and team members.
  • Utilize critical thinking and problem-solving skills to evaluate and prioritize workload resolution.

Qualifications:

  • High school diploma or GED from an accredited institution.
  • At least five years of experience in medical services or demonstrated competency in relevant skills.
  • Minimum of three years of experience in medical billing and/or customer service within a medical support team.
  • Knowledge of problem-solving and research techniques to achieve positive client outcomes and resolve conflicts.
  • Familiarity with medical insurance and cash-pay billing processes.
  • Ability to multi-task and thrive in a fast-paced, high-stress environment.
  • Effective communication skills, with the ability to understand and comply with written and verbal instructions.
  • Practical mathematical skills relevant to a healthcare setting.
  • Proficiency in problem-solving both independently and with team or leadership support.
  • Advanced computer skills, including Google Workspace and Patient Management Systems (electronic medical records).
  • Ability to communicate in Spanish is preferred.
  • Medical Billing diploma or certification is preferred.

Work Location: Fully Remote

Schedule: Monday through Friday, 8-hour shifts
