Role Overview:

As an Executive Assistant at Baxter, you will play a pivotal role in supporting the GITC (Global IT and Transformation Center) site leader and other senior directors in managing their administrative tasks and site-level initiatives. You will ensure smooth operations, assist with meetings and travel planning, track action items, manage vendor relationships, and support employee engagement events. This is a highly impactful position requiring strong organizational, communication, and problem-solving skills.


Key Responsibilities:

  • Administrative Support:

    • Manage calendars, schedule meetings and appointments, and coordinate travel plans.
    • Draft meeting agendas, organize townhalls, and share meeting minutes.
    • Track actions from key meetings (e.g., leadership meetings, townhalls).
    • Coordinate visits and manage the agenda for overseas visitors.
    • Handle vendor management (hotels, couriers, stationers, printers).
    • Review and approve administrative processes and spending.
  • Employee Engagement:

    • Support employee engagement initiatives, promoting connection between individuals and teams across the GITC site.
  • Financial and Data Management:

    • Track expenses and assist with budgeting/forecasting in collaboration with finance teams.
    • Create reports and manage simple MIS (Management Information Systems) for leadership.
    • Prepare professional presentations for senior stakeholders.
  • Knowledge Management:

    • Support site-level initiatives and maintain relevant knowledge management practices.

What You’ll Bring:

  • Communication Skills: Excellent written and spoken English with the ability to communicate effectively across cross-cultural teams.
  • Financial Acumen: Strong ability to track and manage expenses, work with finance teams, and create financial forecasts in Excel.
  • Presentation Skills: Ability to create impressive PowerPoint presentations for senior leadership.
  • Organizational Skills: Ability to manage multiple priorities efficiently while maintaining attention to detail.
  • Data Analysis: Proficiency in MS Excel for data analysis and reporting.
  • Stakeholder Management: Experience in presenting and interacting with senior executives with confidence and professionalism.

Qualifications and Experience:

  • Required:
    • Bachelor’s degree.
    • Minimum of 3 years of experience supporting senior executives.
    • At least 2 years of experience in global organizations.
