Role Overview:

As a Senior Executive Assistant at Amgen India, you will provide comprehensive administrative and operational support to the Managing Director. This role requires a proactive, organized, and highly efficient professional to manage executive schedules, facilitate communication, oversee departmental activities, and ensure smooth operational functioning. You will serve as a trusted partner to the leadership team, enabling them to focus on strategic priorities.


Key Responsibilities:

Administrative Support:

  • Manage and optimize complex calendars, schedule meetings, and coordinate travel arrangements for executives.
  • Prepare and organize materials for meetings, including agendas, presentations, and reports.
  • Handle correspondence, including emails, memos, and phone communications on behalf of executives.

Project Coordination:

  • Assist in planning, tracking, and driving departmental projects and initiatives.
  • Liaise with internal and external key collaborators to ensure timely and accurate communication.

Operations Management:

  • Manage expense reports, vendor invoices, and procurement requests.
  • Maintain departmental records, filing systems, and databases for compliance and operational efficiency.

Event Management:

  • Plan and organize team events, workshops, and off-site meetings.
  • Coordinate logistics, technical requirements, and ensure smooth execution of events.

Confidentiality & Professionalism:

  • Handle sensitive and confidential information with discretion.
  • Act as a gatekeeper to ensure alignment with executives' priorities.

Basic Qualifications:

  • Bachelor’s degree with 6+ years of directly related experience, OR
  • Diploma with 7-10 years of directly related experience.

  • Strong organizational and time-management skills with the ability to manage multiple priorities.
  • Exceptional attention to detail and accuracy in all deliverables.
  • Proficiency in managing executive calendars, travel, and correspondence.
  • Ability to work independently and proactively in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual collaboration tools (e.g., Teams, WebEx).

Good-to-Have Skills:

  • Knowledge of pharmaceutical industry terminology.
  • Experience working in a multinational environment with global teams.
  • Familiarity with project management tools and methodologies.
  • Basic understanding of compliance and data privacy requirements.
