Job Title: Bilingual (English/Spanish) Administrative Assistant

Location: On-site, Bloomfield, NJ
Employment Type: Full-Time
Schedule: Monday through Friday, 8:00 AM - 4:30 PM (30-minute lunch break)

Job Summary:

We are seeking a bilingual (English/Spanish) Administrative Assistant to join our team in Bloomfield, NJ. The ideal candidate will be proficient in Spanish translation and capable of managing various administrative tasks related to study patients' appointments and communications.

Key Responsibilities:

  • Appointment Scheduling:
    • Schedule all study patients' appointments in Athena according to their visit calculator.
    • Confirm all appointments prior to the visit.
  • Calendar Management:
    • Maintain the Outlook study calendar for all study patient visits, monitoring visits, and site initiation visits.
  • Translation:
    • Translate Spanish consent forms, questionnaires, and other documents as needed.
  • Transportation Coordination:
    • Schedule transportation for all study patients using the designated taxi service for each individual study.
  • Phone Communication:
    • Serve as the main point of contact for all phone calls for the Study Department.
    • Direct calls to appropriate study staff and accurately take messages.
  • Software Proficiency:
    • Utilize Microsoft Word and Excel for various administrative tasks.

Requirements:

  • Language Proficiency:
    • Must be bilingual in English and Spanish.
    • Proficiency in Spanish translation is essential.
  • Experience:
    • Experience in scheduling and calendar management.
    • Prior experience in a clinical or research setting is preferred.
  • Skills:
    • Proficiency in Microsoft Word and Excel.
    • Excellent communication skills, both written and verbal.
    • Strong organizational and time management skills.
    • Ability to accurately take and relay messages.
