Position Overview:

We are seeking a Grants Processing and Payment Specialist to manage the end-to-end processing of grant-related transactions. This role involves ensuring accurate and timely handling of grant invoices, overseeing documentation, and maintaining compliance with regulatory requirements.

Key Responsibilities:

  • Manage the complete lifecycle of grant processing and payments, including invoice verification, approval, entry into the system, and timely payments.
  • Oversee the batching, scanning, and storage of invoices in FileNet and other archival systems, ensuring compliance with statutory requirements.
  • Handle the repatriation of original invoices and documents to local sites as required.
  • Ensure Non-PO invoices are properly approved and coded before batching and scanning.
  • Adhere to month-end close deadlines and processes.
  • Provide analysis for cash forecasts versus actual spending and prepare grant funding forecasts for consolidation.
  • Serve as the primary contact for Grant Accounts Payable issues and liaise with internal and external auditors for financial and tax audits.
  • Ensure compliance with SOX and local tax legislation in grant processing and payments.
  • Recommend process improvements and assist with the development and update of internal systems and documentation.

Duties Include:

  • Receipt, batching, and scanning of invoices on a timely basis.
  • Coordination with accountants and tax agents for documentation requirements.
  • Review, approval, and coding of Grant Invoices before processing into Peoplesoft FSA.
  • Reconciliation of Creditors Aged Trial Balance against Accounts Payable GL Control Account.
  • Processing of grant EFT payments, manual cheque payments, and telegraphic transfers.
  • Response to accounts payable queries and maintenance of grant vendor information in Peoplesoft FSA.
  • Support in month-end accruals and policy updates for Accounts Payable – Grants.
  • Supervision and backup support for similar roles as needed.

Qualifications:

  • Education: Diploma or basic degree in accounting and finance.
  • Experience: 3-5 years in an accounts payable role with experience in foreign currency transactions; APAC/EMEA-US experience preferred.
  • Preferred: 3 years of experience with ERP applications, preferably in the CRO industry.

Essential Knowledge:

  • Expertise in accounts payable processing and payments.
  • Familiarity with GST and VAT requirements for the region.
  • Experience handling foreign currencies within the APAC/EMEA-US region.
  • Proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint) and ERP applications.
