Position Purpose

The Associate Coding Specialist is responsible for accurately assigning ICD-10-CM diagnostic and CPT procedure codes for outpatient clinical encounters. This role ensures proper coding and reporting in compliance with regulatory and CMS Official Guidelines to facilitate accurate reimbursement.

Nature and Scope

The role involves entry-level clinical outpatient coding support within the Health Information Management (HIM) department. The specialist collaborates with HIM leadership to complete coding assignments for various clinical settings, including Laboratory, Radiology, Emergency Department, Same Day Surgery, and Observation encounters. Adherence to CMS guidelines and HIM policies is essential for coding accuracy and compliance.

Key Responsibilities

  • Assign ICD-10-CM diagnostic and CPT procedure codes based on diagnostic statements, physician orders, and documentation.
  • Ensure accuracy in coding and data abstraction for reimbursement purposes.
  • Identify appropriate charges based on documentation and coding guidelines.
  • Address incomplete, vague, or ambiguous documentation by obtaining necessary clarifications from physicians through HIM staff.
  • Adhere to HIM coding policies and apply AHA Official Coding Guidelines to support appropriate coding of diagnoses and procedures.
  • Maintain coding certification and stay updated on ICD-10-CM coding guidelines and regulatory changes.
  • Participate in performance improvement initiatives and meet or exceed productivity and quality standards set by department leadership.

Knowledge, Skills, & Abilities

  • Proficiency in Anatomy and Physiology, Disease Pathology, and Medical Terminology.
  • Understanding of basic coding conventions and CMS Official Guidelines for ICD-10-CM.
  • Ability to accurately translate diagnostic descriptions into ICD-10-CM and CPT codes.
  • Competence in navigating Electronic Medical Records for coding and billing purposes.
  • Familiarity with clinical content standards.

Minimum Qualifications

  • Education: Associate’s Degree in Health Information Management preferred.
  • Experience: Minimum of 1 year of outpatient coding experience required. Experience in acute care or Trauma Level II coding preferred.
  • Certification: Certification from AAPC, AHIMA, or other recognized coding credential required.
  • Computer Skills: Must possess or acquire necessary computer skills for job-specific competencies within 90 days.
