Position: Safety Operations Manager

Job Overview:

As a Safety Operations Manager, you will oversee a team of Safety staff responsible for delivering Safety Operations services, working under the guidance of senior management. You will play a pivotal role in supporting both local and global initiatives, contributing to the achievement of key deliverables and metrics. Your role involves close collaboration with Senior Management and various stakeholders to ensure effective service delivery and operational excellence.

Key Responsibilities:

  1. Operational Management:

    • Implement and support operational decisions based on senior management directives.
    • Contribute to global initiatives such as Change Management and serve as a Subject Matter Expert (SME) on committees.
    • Participate in SOP review committees and contribute to the development of policies and procedures.
  2. Employee Engagement and Supervision:

    • Enhance employee engagement through regular communication and support.
    • Supervise Safety Operations staff, including planning, assigning, and directing work.
    • Conduct performance appraisals, provide professional development guidance, and address employee relations issues.
    • Manage staff recruitment, terminations, and other HR-related actions.
  3. Training and Development:

    • Assist in staff training and career development, identifying needs and coordinating with the Training team and Safety Management.
    • Ensure cross-training of staff on Safety service offerings.
    • Develop and monitor training plans to enhance team capabilities.
  4. Project and Resource Management:

    • Work with operations managers to address problem areas, schedule work for current and upcoming projects, and manage peak workloads.
    • Monitor staff utilization, identify issues, and implement solutions to improve efficiency.
    • Oversee project budgets and ensure efficient timesheet reporting.
  5. Quality and Compliance:

    • Ensure project processes and department deliverables meet quality, financial, and productivity targets.
    • Adhere to SOPs, ICH/FDA regulations, and client expectations.
    • Ensure staff compliance with required SOPs, Good Clinical Practices (GCPs), and relevant guidelines.
  6. Change Management and Improvement:

    • Support or lead change management initiatives to enhance departmental processes and infrastructure.
    • Promote continuous improvement in work processes and project management.
  7. People Management:

    • Effectively handle people issues, ensuring 100% compliance with people practices and processes.
    • Demonstrate leadership, motivational, and influencing skills to foster a positive work environment.
  8. Communication and Reporting:

    • Provide strong presentation and report-writing skills.
    • Communicate effectively with internal teams and clients, maintaining productive working relationships.
  9. Additional Duties:

    • Perform other tasks as assigned to support the overall goals of the department and organization.
    • Travel occasionally as needed and adapt to shift work if required.

Qualifications:

  • Bachelor’s degree in a scientific, healthcare, or life sciences discipline.
  • Up to 6 years of relevant experience, including up to 4 years in Pharmacovigilance (PV) and up to 2 years in people management.
  • Knowledge of Safety service lines with a willingness to expand knowledge and develop new skills.
  • Proven staff management skills, including leadership, motivation, and the ability to manage competing priorities.
  • Strong problem-solving, judgment, and decision-making skills.
  • Excellent communication, presentation, and customer focus skills.
  • Ability to work effectively in a matrix environment with shared accountabilities.
  • Experience in negotiating and finding satisfactory solutions for all stakeholders.
  • Flexibility to operate in shifts and occasional travel requirements.
