Main Responsibilities:

As an Administrative Support Specialist at IQVIA, you will play a key role in supporting the operations of clinical projects, working alongside our project teams to ensure smooth and efficient workflows. You will be responsible for a wide range of administrative tasks, from project start-up through to closure, with a focus on data management, team coordination, and document tracking.

Key Responsibilities Include:

  • Project Administration: Assist with project start-up tasks, including the creation and maintenance of project files and systems access requests.
  • Document Management: Perform administrative duties such as creating labels using investigator lists, maintaining personal safety files, tracking and filing submission dossiers, and distributing listings to clients and operations teams.
  • Tracking and Reporting: Develop and maintain project tracking spreadsheets, including entry specifications, and create appropriate graphics/data visualizations for reporting.
  • Translation Support: Serve as ad-hoc support for the translation requirements of project documents as needed.
  • Case File Management: Create, maintain, and track case folders, manage filing and retrieval, and distribute case folders to the operations team. You will also archive case folders and project files following event closure.
  • Meeting and Coordination Support: Oversee administrative functions, including coordinating team or department meetings, ordering stationery, dispatching documents via courier services, and reserving meeting rooms and IT equipment.
  • Database Support: Perform database searches for the operations team, assist with user testing for database validation, and help ensure the accuracy of data entry.
  • Phone Line and Call Center Support: Set up project phone lines as required, triage calls from the call center, and escalate to senior associates when necessary.
  • Workflow and Quality Control: Assist with project workflow, including database entry, quality control activities, and preparation of Lifecycle Safety data reports and submission dossiers.

Minimum Required Education and Experience:

  • Education: High School Diploma or equivalent.
  • Language Skills: Excellent written and verbal communication skills in English (min. C1), German (min. C1), and French (min. C1).
  • Technical Skills: Proficient in Microsoft Office, especially Excel, and other web-based applications. Strong ability to manipulate and analyze large datasets using advanced Excel functions, creating dashboards and reports for actionable insights.
  • Communication: Strong verbal and written communication skills with the ability to collaborate with call center agents, customers, and internal teams over the phone and via email.
  • Medical Knowledge: A good working knowledge of medical terminology.
  • Organizational Skills: Strong time management and organizational skills, with the ability to prioritize and manage multiple tasks efficiently.
