Role Overview

This role provides full-range administrative support to members of the Pfizer Regulatory Affairs Division, ensuring efficient operations and smooth functioning of day-to-day activities.

Key Responsibilities:

  • Archive department documentation and keep archives (both hard copy and electronic) updated.
  • Update global and local systems periodically to reflect accurate local information and respond to inquiries from local and global counterparts.
  • Take necessary actions for products without a product responsible colleague.
  • Ensure audit readiness for all systems, SharePoints, and hardcopy archives at all times.
  • Maintain updated organization charts and job descriptions.
  • Organize courier services as needed.
  • Track power of attorney documents and e-signatures; update as required.
  • Organize and finalize payments for MoH fees and vendors.
  • Initiate and follow up on payments for third-party services, equipment, etc.
  • Create reports from global and local systems.
  • Prepare and edit reports, Excel sheets, and presentations using Microsoft Office software; organize and maintain files.
  • Expedite the flow of work items and initiate follow-up when necessary.
  • Monitor external announcements (e.g., agency website, Official Gazette) and make internal announcements as needed.
  • Participate in the labeling process (quality checks, sharing approved versions with external stakeholders such as RxMedia) and update the local company website.
  • Proactively manage Outlook calendars, anticipate conflicts, and use diplomacy to resolve scheduling issues; assist with meeting scheduling, conference room reservations, and teleconference setup.
  • Coordinate travel arrangements and team meeting planning; prepare itineraries.
  • Manage donation processes, including gathering related documents, following up on PO orders, delivering donation items to districts, and managing donation budgets.
  • Organize visitor passes and access.
  • Announce birth, death, and marriage information to colleagues.
  • Assist in onboarding new colleagues.
  • Prepare expense reports and track reimbursements.
  • Ensure proper invoice routing and tracking.
  • Set up and maintain project and general correspondence files.
  • Provide project management assistance as needed.
  • Manage information with discretion.
  • Serve as back-up support for colleagues when necessary.

Qualifications:

  • Bachelor’s Degree.
  • Excellent communication skills in both English and Turkish.
  • Highly detail-oriented with strong organizational skills and the ability to prioritize and work independently.
  • Demonstrated resourcefulness with the ability to anticipate needs, prioritize responsibilities, and take initiative.
  • Proficiency in MS Word, Excel, PowerPoint, and Outlook.
  • Previous experience in administrative functions with a proven ability to deliver quality work efficiently.
  • Ability to work both independently and as part of a team.
